Valet Parking at Hotels: Licence Plate Registration Replaces the Key Board

Arrival rush: taking in thirty cars in an hour

Most city-centre hotels see guests arrive in waves on Friday and Saturday afternoons, between 14:00 and 19:00. A hotel with 80 rooms can process forty to fifty valet handovers in that window. Each one produces a ticket: handwritten plate, bay code, room number. The ticket goes with the keys onto the corresponding hook on the key board.

The key board works well when one team runs the whole shift. Across shift changes it breaks down: a valet starting at 22:00 finds fifty hooks, variable-quality slips and cars moved since the last ticket was written. Without a central record, the valet works from memory and hope.

Licence plate registration turns every handover into a digital log. The system links the plate to a room reference at arrival, records the bay code and notes which valet accepted the car. All shift members see the same live picture, regardless of when their shift started.

Finding keys by plate

The key board is the weakest link in most valet operations. A guest asking for their car gives a room number or a ticket. When the ticket is lost, or the guest has already checked out of the room, the valet searches by intuition. On a busy Sunday morning that costs five to ten minutes per car.

With a digital system the valet types or scans the plate and the screen returns the bay code and hook immediately. No paper needed, no memory required. If the car has been moved since the original log entry, the new location is in the system because that move was also recorded.

A further benefit is the complete vehicle movement log. When a guest asks when their car arrived, or when a damage dispute arises after checkout, the system shows the exact timeline: who accepted the car, when, and where it sat the entire stay. That record is useful for hotels that want to demonstrate clearly how vehicles were handled.

Retrieval requests via WhatsApp

Most valet services route retrieval requests through the front desk: the guest approaches reception, reception calls the garage, the valet fetches the car. On a morning with twenty checkouts between 08:00 and 10:00, reception is already handling billing, room administration and luggage at the same time.

A WhatsApp connection shifts the retrieval step. The guest sends a message to the hotel channel with their room number, the valet receives the job directly on the dashboard or their phone, and has the car ready by the time the guest reaches the lobby. The request and confirmation are logged, so reception can see the expected wait time without asking separately.

This also spreads the load across the morning. When guests can request their car themselves via WhatsApp, requests come in at different times rather than all at once when the checkout desk opens.

Early departures and late arrivals

Business travellers catching an early Monday flight often leave before 06:00. For a hotel near Schiphol or Rotterdam Airport that means either a valet on duty from 05:30 or a way for guests to retrieve their car without staffed handover.

With licence plate registration you link a retrieval request to a time slot: the guest requests their car the evening before via WhatsApp, the valet positions it on a designated exit bay for the agreed time, and the guest drives off once the barrier opens on their plate. The same applies to late arrivals. Guests checking in after 22:00 register their plate in advance via the booking confirmation message or a QR code at the garage entrance. The night-shift valet receives a notification when the new vehicle arrives and immediately knows which room it belongs to.

Connection to reservations and hotel software

Most hotels use a property management system (PMS) for reservations, room assignment and billing. Parking administration then runs in a separate system or over phone and paper. That split creates double entry: the plate a guest provides during online check-in has to be manually forwarded to the valet.
